The eternal field of tension in a matrix organization: three tips

When projects and processes go hand in hand, a field of tension always arises in a matrix organization. Whether simple or complex, small or large projects. This is no different for steel construction and metal construction. So we are happy to think with you about a way to relieve the tension.

In essence, it's always about your client having a problem and hiring you to solve it. For example, your client has no in-house manufacturing capabilities, too little specific knowledge, or simply a scheduling problem. He doesn't hire you to add another bunch of problems.

Conditions for success

To provide an appropriate solution, you must be reliable as an organization. Keeping agreements, free of (nasty) surprises and delivering as expected. And preferably a little better than that. And communicate well about it. It's all possible, provided you have insight into where you stand, what your processes look like and keep a grip on them. The latter can be a challenge due to all kinds of internal and external disruptions.

Disturbances

In the internal organization, things often go wrong because of unclear process, unclear communication or forgotten things (too busy doing something else). Externally, disruption is often more erratic. Consider delayed approval on designs, late delivery of materials or having to anticipate unforeseen circumstances such as construction deviations. In all cases, "time is of the essence.

Dynamic working

By working in a planned way, you bring adjusting back to the core: give attention to the things that are variable and not to the steps that keep recurring. This is only possible if you structure the work and projects, have insight into your own process and the time you need for it. And if you do that well, you can move to "guaranteed lead times" within projects. That provides clarity for everyone. How happy will your client, your organization but also your supplying core be with that? Especially if those lead times are shorter than you ever imagined.

Make sure your focus is on the product and the management aspects of time and money, and not on keeping the internal process going over and over again.'

Three tips for project control

  • Plan and organize your work. Lay it all out in a clear plan in which mutual expectations are clearly defined. Both internally and externally, it is necessary that everyone knows what and when something is required of him.
  • Stick to your plan. Let doing "urgencies" for unexpected obstacles be a conscious choice, without throwing everything upside down.
  • Communicate clearly and directly. Create understanding and support for issues you encounter (when solving someone else's problems).
