What actually is UBL invoices?
A UBL invoice is a digital invoice in the form of an XML file. That file may also contain a PDF of the invoice.
UBL is an abbreviation for Universal Business Language and was developed by the Ministry of Economy. In 2009, digital invoices were made equal to paper invoices by the government. So legally, you no longer have to print invoices or keep those from your suppliers!
The main advantage:
UBL invoicing saves a lot of work when making sales invoices and processing/booking purchase invoices, because you no longer need to download the invoice, save it as a PDF, or put it in a folder, or find it difficult, etc., etc., etc...
THUS: Saving time, fewer mistakes, no more typing in anything!!!
Why use UBL invoices?
First, of course, because it saves you time. In addition, if you have agreed with your customer that you can send him an UBL invoice (is a condition), the chance of errors in the customer's administration is zero. It is also possible that he pays faster!
Of course, the same is true if you receive an UBL invoice from your supplier.
So how does that work a UBL invoice?
For an invoice to be automated, that computer, nay that software must understand what is in that invoice.
A pdf is not 100% reliable, not 100% flawless and sometimes not readable!
